Job Description

CLASSIFICATION: Non-Affiliated Administrator (AN)
Status: Full-Year Full-Time (Hourly Non-Exempt)

Contract: Non-Affiliated Administrator - Contract Addendum A

Report to: Executive Director of Special Education

Base rate longevity (based on years of relevant experience or TCAPS years of service) degree consistent with the Non-Affiliated Contract Addendum A

General Summary:

The Student Services Coordinator coordinates the Special Education office activities within the Curriculum & Instruction Department and works under the supervision of the Executive Director of Special Education.

Duties and Responsibilities:

  1. Performs administrative tasks and duties related to the Curriculum & Instruction and Special Education departments.
  2. Performs work of a confidential nature and assists with organizing the workflow of the Executive Director of Special Education.
  3. Answers telephone notifies appropriate department personnel of messages and performs similar duties involving contacts with district personnel.
  4. Maintains records for the Executive Director of Special Education; assists with preparing information correspondence presentations reports forms etc.
  5. Coordinates and streamlines English Learner (EL) program services; serves as the primary point of contact for EL programming and services.
  6. Works directly with Northwest Education Services (NorthEd) to ensure the placement of Early Childhood Special Education (1754 and 1755) students consistent with district enrollment practices.
  7. Schedules prepares agendas takes minutes and coordinates meetings.
  8. Establishes maintains and revises files.
  9. Opens distributes or otherwise handles mail directed to the Curriculum & Instruction Department.
  10. Organizes and coordinates scheduling of personnel facilities and equipment for in-services and other meetings.
  11. Compiles materials and information to respond to staff parents and community requests.
  12. Creates purchase orders orders distributes and inventories materials for the Special Education Department and provides support to the Curriculum & Instruction Department for orders and distribution.
  13. Monitors and maintains the Special Education department budget and prepares budget reports as requested.
  14. Coordinates and distributes printing jobs for the Curriculum & Instruction and Special Education Department.
  15. Prepares mileage reimbursements and payment requests for the Curriculum & Instruction and Special Education Department.
  16. Coordinates transportation for students who are ECSE MICI and for those who qualify for ESY.
  17. Facilitates the ordering and distribution of assistive technology.
  18. Supports district-wide curriculum inventory and distribution processes by managing non-consumable materials coordinating science kit rotations maintaining inventory systems and assisting with ordering and restocking.
  19. Supports district communication efforts on an as needed basis.
  20. Performs other duties as assigned.

Education Skills and Abilities Required:

  1. High school diploma or GED and previous relevant work experience required; Associates degree or higher education preferred.
  2. Advanced knowledge of computers and technology.
  3. Excellent organizational skills with emphasis on details and time management.
  4. Excellent public relations skills.
  5. Ability to deal with injuries.
  6. Knowledge of math and accounting principles.
  7. Analytical ability necessary to gather and interpret data.
  8. Demonstrates proficiency in spelling grammar and information technologies.
  9. Experience in office setting having demonstrated a high level of professionalism the ability to pace work to meet deadlines and having consistently exhibited a measured response to changeable and/or politically charged situations; understands and is sensitive to confidential information; exercises good judgement.

Physical and Mental Requirements:

  1. Must be able to report on a regular and consistent basis.
  2. Maintain consistent and punctual attendance.
  3. Duties include frequent walking and physical activity as well as use of hands and arms for signaling and lifting/carrying. Must have the ability to move about the classroom/building and school property including bending pushing/pulling lifting twisting climbing stooping or crouching to complete work-related tasks with and without students.
  4. The ability to listen and effectively orally communicate information and ideas to a diverse population.
  5. Ability to effectively discern information and formulate appropriate action(s).
  6. Ability to critically think and provide appropriate solutions.
  7. Ability to work effectively and efficiently.

Environmental Conditions:

This is a largely sedentary assignment with most of the duties performed on a computer or phone in a professional office environment. This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.

Work Schedules:

Must be available to report throughout the calendar year on a consistent basis. Must be available for overtime and/or emergency overtime before and/or after regular scheduled workday when necessary.
