Job Description

Grade 117- Placement range: $24.50 to $28.00 per hour depending on experience.

JOB SUMMARY

Meeting the mission of inspiring every child to achieve means ensuring highly skilled and motivated people work in roles throughout the District. The Human Resources Department plays a central role in recruiting and retaining effective staff members and the Administrative Assistant for Human Resources is a critical person in this department. The Administrative Assistant is responsible for performing office management activities that will ensure the smooth and efficient operation of the Human Resources Department while providing support to the Assistant Superintendent of Human Resources.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manages welcoming and orderly front of house operations for all Emerson Court departments including greeting and directing visitors answering phone calls delivering messages and accepting mail.
  • Maintains general information and knowledge of school district operations; communicates such information as needed.
  • Prepares and writes correspondence using discretion and judgment to reply to inquiries presenting or requesting information.
  • Maintains files enters and reviews data and examines for errors in accordance with established practice.
  • Accurately prepares reports from raw data including generating charts and graphs.
  • Communicates extensively with all levels of district staff and the community.
  • Gives and receives information requiring independent judgment or discretion regarding specific business of the district.
  • Maintains appointment schedule for the Assistant Superintendent of Human Resources.
  • Calculates and computes expenses receipts and other data for daily and periodic records.
  • Maintains time and attendance records for the Human Resources Department.
  • Maintains filing system for evaluations personnel action requests and other key functions in the Human Resources Department.
  • Assists the Assistant Superintendent of Human Resources with project management responsibilities including preparing presentations and reports.
  • Process purchase requisitions and manage procurement processes including ordering supplies for department.
  • Assist Human Resources Department with preparation of agenda items for Governing Board meetings and preparing correspondence to employees regarding Governing Board actions.
  • Develops and maintains partnerships with local colleges and universities.
  • Supports the recruitment process by coordinating interviews communicating with candidates assisting with job postings and applicant tracking.
  • Complete other duties as assigned.

MINIMUM EDUCATION AND/OR EXPERIENCE:

  • High school diploma or GED required.
  • Experience with MS Office software

PREFERRED EDUCATION AND/OR EXPERIENCE:

Bilingual (Spanish)

Three or more years of secretarial/office management experience.

KNOWLEDGE SKILLS AND ABILITIES:

Knowledge of:

  • Generating business correspondence
  • Best practices in ensuring smooth and efficient office operations

Skilled in:

  • Using Microsoft Word Excel PowerPoint and Publisher to complete a variety of tasks.
  • Communicating empathetically and effectively with a diverse group of stakeholders

Ability to:

  • Produce effective written correspondence and reports in a timely manner.
  • Prioritize multiple tasks.
  • Effectively engage with and provide exemplary customer service to staff and the public.

While performing the duties of this job the employee is frequently required to stand and talk or hear and sometimes walk and sit. The employee must use hands arms and fingers to input data handle feel or reach; employee may occasionally push or lift up to 50 lbs. such as boxes supplies etc. Specific vision abilities required by this job include close vision such as to read handwritten or typed material and the ability to adjust focus close vision distance vision color vision peripheral vision and depth perception.

The noise level in the work environment is moderate to loud and can vary in temperature. The nature of this position is fast-paced and may occasionally be thought of as stressful. Through interaction with the public and other district employees the employee may encounter different scents.
