Requirements:

  • Maintain a professional attitude and positive working relationship with office personnel program staff volunteers and the public.
  • Serve as a member of the Accounting Team.
  • Responsible for entering salary changes making departmental changes and terminations after receiving proper authorization on Change of Status Reports or Pay Letters.
  • Verify Payroll through electronic timesheets. Prepare payroll for all Agency programs; input payroll data; enter any leave used create and maintain electronic payroll files update payroll transactions and/or accounts payable entries.
  • Perform edit process to ensure accuracy prior to printing of checks or bank upload.
  • Handle direct deposit transactions prepare payroll tax deposits journal entries and assist in handling payroll problems that might occur.
  • Administer and coordinate Agencys employee benefits including enrollments and terminations. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serve as the administrator/trustee for 401K COBRA workers compensation and all employee insurances.
  • Maintain responsibility for organization compliance with federal state and local legislation laws and regulations pertaining to agency insurances/benefits (including but not limited to ERISA COBRA HIPPA PCORI).
  • Managing annual open enrollment period for all employee benefits. Arrange for distribution of plan summary materials and required notices assist with communicating changes to employees and arrange for onsite representation by providers. Process changes within deadlines.
  • Coordinate and assist with the ACA and ERISA benefits reporting requirements.
  • Responsible for ensuring timely reconciliation and payment of employee benefits such as insurance retirement etc.
  • Assist employees in resolving any payroll issues that may occur.
  • Responsible for preparing tax reports.
  • Responsible for maintaining accurate and up-to-date information for the retirement plan at all times.
  • Responsible for preparing retirement contribution compliance test annually. Assist in

preparing the 5500-retirement report annually.

  • Assist with the distribution of payroll and accounting disbursements.
  • Prepare deposit for cash or checks received from the Office Assistant. Submit to the Executive Director or designee for deposit and enter cash receipt in the accounting system.
  • Assist in maintaining financial records and reports.
  • Assist with the filing of letters memos and claims paid.
  • Assist with closing of journals balancing journals and preparation of financial statements.
  • Assist with daily back-up monthly back-ups etc. of accounting system.
  • Assist in obtaining and documenting In-Kind activities and donations.
  • Attend Accounting Department meetings and Administrative Office Meetings (AOM) as scheduled.
  • Responsible for data management of designated accounting areas.
  • Responsible for avoidance or appearance of fraud and ensuring compliance in designated areas.

Educational and Experience Requirements:

  • High school diploma or GED required.
  • Accounting degree or Certified Payroll Professional (CPP) preferred.
  • Two years of experience in computerized bookkeeping.
  • Work with ADP Gusto Workday Proliant UKG or MIP (Abila) preferred.

Physical Requirements:

  • Valid drivers license access to transportation with liability insurance and willingness to use vehicle for Agency related travel.
  • Able to travel out of the area overnight to attend training.
  • Able to hear and communicate orally with adults.
  • Specific vision abilities required by this job include close distance and peripheral vision depth perception and ability to adjust focus.
  • Occasionally lift and/or move up to 50 pounds.

Skill Requirements:

  • Ability to read write and perform mathematical calculations.
