Position Summary
- Franklin University a private independent accredited not-for-profit University located in Columbus Ohio invites applicants for its Administrative Assistant to the Vice President Campus Services position.
- Provide high level administrative assistance to the Vice President.
- Assist the Vice President with strategic initiatives planning and implementation.
- Work under the direct supervision of the Vice President and provide administrative and staff support to the Vice President and the department.
- Responsible for managing organizing scheduling and maintaining the administrative functions for the Vice President. This includes skillfully drafting correspondence preparing reports storing retrieving and synthesizing information for dissemination conducting small research projects managing the calendar scheduling meetings event planning and other general office duties.
- Work with minimal supervision be detail-oriented dependable and provide superb customer service.
- Must possess excellent organizational skills and great communication and interpersonal skills while maintaining the confidentiality of the office data.
- Proven ability to work effectively in a fast-paced multi-tasked team environment
- Highly proficient in MS Office Suite applications.
- Must possess a strong customer-centered philosophy and develop an understanding of and agreement with Franklins relationship management principles and University values.
This role will work an onsite hybrid schedule.
Duties and Responsibilities:
- Maintain the Vice Presidents calendar.
- Draft correspondence.
- Craft agendas and meeting minutes for committee and department meetings owned by the Vice President.
- Create spreadsheets graphs and documents as requested in relation to the Vice Presidents duties.
- Ensure confidentiality of sensitive documents information and correspondence.
- Review phone messages and email prioritizing items based on sensitivity and the level of profile.
- Provide regular updates to the Vice President regarding progress on assigned tasks.
- Plan departmental retreats.
- Coordinate and book travel.
- Process invoices reconcile credit cards and expense reimbursements.
- Maintain the departments operational and capital budgets real estate contracts and timelines
- Serve as the official scribe for the Crisis Management Team
Minimum Requirements/Qualifications:
- 3-5 years experience providing administrative support at the executive level.
- Strong customer-centered philosophy
- Ability to multi-task in a fast-paced executives office
- Outstanding organizational skills
- Team-oriented
- Quick learner
Preferred Skills and Characteristics:
- Bachelors degree is preferred but not required with qualifying experience
Additional Notes:
- Flexible hours may apply. Some evening/early morning hours may occasionally be required to support the needs of the University
- May be able to intermittently work from home.
