TITLE: Part Time Secretary to the Athletics Director
REPORTS TO: Athletics Director
JOB SUMMARY: Provide clerical support to the Athletics Director in a manner that is professional diplomatic and complies with confidentiality requirements.
ATHLETIC PRIMARY DUTIES AND RESPONSIBILITIES:
- Perform clerical duties including but not limited to answering the phone student parent coach inquiries opening and distributing mail scheduling appointments typing correspondence meeting agendas memos and filing and the following business functions:
- All Purchase Orders Requests Through the Athletic Department
- All Budget input on PowerSchool ERP Through the Athletic Director
- All Check requests which are itemized with various codes for all activities
- All Officials payments
- Responsible for W-9 collection and making sure they are listed on PIAA website
- All game worker payments
- Responsible for W-9 Collection
- All athletic ticket sales information for each competition where tickets are sold. Gate receipt information must be entered into Power School ERP
- Coordinate communication with WMCTC regarding student dismal times and transportation
- Resposible for end of season documentation for Varisty and JV Awards.
- Responsible for PAC and PIAA special award recognition. (Emails orgnizations certificates and mailings
- Assist with Technology Platforms and Data Entry including:
- All Roster input on Schedule Star/Big Teams Student Central PowerSchool and PIAA Eligibility Portal
- Responsible for scheduling all games and competitions on Hudl Focus Cameras for live streaming and recording of events
- Responsible for scheduling Gametime Announcements for music and PA Reads at all athletic events
- Responsible for online scheduling for our online ticket sales
- Enter in Requisitions through Power School Talent Ed of Open Athletic Positions within the District
- Review athletic schedules with officials Aribter platform to ensure adequate coverage.
- Assistant with Scheduling needs in Master Library with PGSD staff
- Assist with Athletics communications including:
- Monthly newsletter to All Staff Parents Administration and Board Highlighting Various aspects of the Athletic Department
- Social Media and Website communication highlighting various aspects of the Athletic Department
- Assist with the organization and planning of theme nights special athletic events and community events.
- Senior night orginzation Communication and Information Processing for presentation
- Booster Club Athletic Award Ceremony. Collection of award recipients and accuracy of names for recognition.
- Maintain current and accurate records concerning team rosters equipment distribution end of season results and awards.
- Copy and distribute weekly athletic schedules to appropriate personnel.
- Responsible for PIAA eligibility tracking in communication with Assistant Athletic Director
- Maintatin accurate records of participating students outside Pottsgrove SD.
- Contacting and setting up our new coaches who must complete their First Aid and Coaching Principles training. One time certification through SafeSchools
- Maintain communication with the student deans and Principal to ensure an efficient-running discipline system.
- Work and establish communication procedures with the attendance clerk with tardy and absent reporting each season.
- Assist with tracking student attendance patterns through reporting practices in Power School.
- Assist with Athletic Scheduling and facility usage per Athletic Director.
- Maintain an accurate record of coaches per season that is distributed to attendance important stakeholders and posted on the school district website.
- Perform other duties as assigned by the Athletic Director.
ACTIVITIES PRIMARY DUTIES AND RESPONSIBILITIES:
- Process and maintain records of S.O.A.R applications approvals and payments.
- Communicate with Advisors regarding procedures requests and potential needs
- Monitoring Supplemental fufillment in communication with building principals
- Communicate process regarding evaluative documents
- Collection of student participation data in elementary and secondary non athletic programs.
- Keep an accurate report and records of inactive non athletic clubs.
- Keep accurate information of non athletic clubs and activities on the school district website.
QUALIFICATIONS: One (1) year experience in a school office environment necessary
High School diploma necessary
Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code)
Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code)
FBI Criminal History Record
Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994
Such alternatives to the above qualifications as the Board may find appropriate and acceptable
Required Experience:
Director
