Location: We are seeking an experienced Event Planner for the High Country Conference Center located in Flagstaff Arizona on the campus of Northern Arizona University.

The High Country Conference Center is Flagstaffs newest meeting and event facility. Surrounded by a refreshing ponderosa of pine forests with picture perfect skies High Country offers flexible meeting space for any occasion.

With 29700 square feet of flexible meeting space The High Country Conference Center Flagstaff can accommodate from 10 to 1000 guests. Offering professionally trained staff culinary expertise and purpose built meeting rooms; The High Country Conference Center is the place to meet!

Principal Function:

  • The Event Planner will plan and coordinate assigned in-person hybrid and virtual meetings and conferences at this conference center site as an in office position.
  • Under the leadership of the General Manager and Director of Sales and in collaboration with supporting operational and technical teams and other partners the Event Planner will create event experiences that exceed Guest expectations and maximize revenue by effectively consulting and planning conferences - including defining objectives and interfacing with Clients to determine needs.
  • The Event Planner will ensure timely distribution of event orders diagrams and also provide hands on assistance as requested for food and beverage service set- up and room-strike of events.
  • The Event Planner will ensure compliance with all event contract payment and invoicing policies.
  • The Event Planner will interact with on-site meeting planners/facilitators to assure client needs are favorably responded to and initiates post conference follow-up.
  • The Event Planner will perform site visits and pre-planning meetings and participate in weekly meetings with the operations team.
  • Will assist the Sale Department with various functions including; client appreciation events prospecting efforts sales blitz planning and attending trade shows.
  • The highest priority responsibilities for this role are to develop and maintain strong Client relationships and Client Satisfaction by creating events of the highest quality.

Essential Responsibilities:

  • Maximize Sodexo Live!s revenue and operational excellence through execution of systems and policies related to administrative operations.
  • Contribute to goal of making Sodexo Live! #1 in Event Hospitality and the #1 Employer of Choice through personal commitment and leading by example.

Qualifications/Skills:

  • An Associates degree in a related field and/or appropriate combination of education and experience to support on-the-job effectiveness.
  • A minimum of 2-years basic event planning experience and 1-year basic functional experience. Management experience is a plus.
  • Exceptional communication customer service and time management skills with a high level of organization attention to detail and anticipation of client needs.
  • Working knowledge in event management including planning and working events/meetings.
  • Knowledge of Event Management Systems Diagramming Software and Microsoft Office Suite is a plus.
  • Proven ability to work effectively with all levels of staff and management; Ability to promote and participate in team environment concepts.
  • Self-starter who can work independently and simultaneously on multiple tasks/projects.
  • Ability to communicate effectively both orally and in writing.
  • Initiative in identifying and resolving problems timely and effectively.

Other Requirements:

  • Work is performed in an area with adequate lighting and ventilation. Requires lifting items up to 50 pounds on occasion. Hours may be extended or irregular to include nights weekends and holidays.
