Job Description

ABOUT WILLIAMS LAKE FIRST NATION (WLFN)


The Williams Lake First Nation (WLFN) or the Texelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane in nearby Williams Lake BC and across the globe.

POSITION

Reporting to the Director of Legal and Corporate Affairs the Office Coordinator will oversee the day-to-day operations of the Williams Lake First Nation (WLFN) downtown office including being the main contact for the office managing schedules coordinating meetings and events and overseeing office supply inventory and vehicle fleet.


Employment Type

Permanant full time 35 hours per week.

Probation Period

3 months from the date of hire.

Education Required

  • Certified in Business Administration or a related field or equivalent combination of training and education.

Experience Required

  • Minimum of 1-2 years experience in office administration.

Overtime Status

Non-exempt.

DUTIES AND RESPONSIBILITIES

  • Act as the primary point of contact for the WLFN downtown office fielding and directing incoming calls and inquiries and providing information to external stakeholders as required.
  • Act as primary office receptionist: welcome guests answer the phone direct calls with the goal of providing a first-rate customer experience.
  • Performs day-to-day administrative/clerical duties including photocopying processing correspondence flyers emails and other documentation.
  • Maintains general office supply inventory including ordering and organization.
  • Provide general administration to internal departments as required.
  • Maintains organization and scheduling procedure for WLFN vehicles.
  • Schedule regular maintenance of WLFN vehicles (example oil change).
  • Replenishes brochures and maintains community display board.
  • Develops maintains and updates Receptionist Manual as required.
  • Take payments and issues receipts for General.
  • Manage opening and closing of the front door and kitchen throughout the day opening at 8:30am closing between 12:00pm and 1:00pm and closing at the end of the day.
  • Receive mail and packages and distribute throughout the office.
  • Coordinate facilities maintenance for the WLFN downtown office by liaising with the WLFN departments and external contractors as required.
  • Coordinate meetings and events including scheduling preparation of materials and logistics and ensuring all necessary arrangements are made.
  • Follow office workflow procedures to ensure maximum efficiency.
  • Provide hospitality to all guests and help to create a welcoming environment.
  • Invest in building long-lasting relationships both externally and internally.
  • Oversee office supply inventory ordering and restocking as necessary and ensuring that the office is always well-stocked with the necessary materials.
  • Supports the mission vision and values of Williams Lake First Nation.
  • Contributes to the WLFNs ongoing success by accomplishing other duties as required or assigned.
