Job Title: Service Coordinator
Department: Wilmington Division
Reports to: Operations Manager
Location: Wilmington Office
Hours: 8 am 5 pm overtime may be required
GENERAL PURPOSE OF JOB:
Provide support to the operational staff and assist the Operations Manager with daily operations.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Checking and approving labor and pricing for Residential Technicians daily in our software system to process for billing and payroll.
- Organization of the next days schedule of service calls.
- Timely and accurate processing of maintenance project and service billing.
- Resolve billing issues and ensure billing procedures are followed accurately.
- Crosstrain and stay current on policies and procedures in all areas of responsibility.
- Maintain communication with the sales team to ensure that diagnostic invoices associated with replacement jobs are processed correctly.
- Providing customer assistance for billing inquiries and credit card payments
- Work overtime to ensure the billing remains current as needed
- Ensure proper documentation of all completed work.
SECONDARY DUTIES AND RESPONSIBILITIES:
- Support the sales team and the installation department.
- Contact customers who are listed in the past due report.
- Dispatch service orders to the service technicians.
- Contact customers to schedule times for service visits.
- Ensure that all filter lists for the next day are prepared and ready.
- Ensure that the schedule for the next day is prepared
Qualifications:
- 2-year office experience in an administrative/support role preferred.
- Intermediate skill level with Microsoft Excel.
- Excellent customer service skills.
- COINS knowledge is a plus.
