About the Role:
We are seeking a proactive detail-oriented and highly organized Executive and Recruitment Manager to support our Reporting Operations Finance and HR teams. This hybrid Chicago-based position blends high-level executive assistance with strategic recruitment and resource planning responsibilities. The ideal candidate will bring a strong background in talent acquisition internal staffing and executive support and will thrive in a fast-paced collaborative environment.
Key Responsibilities:
Executive Support
- Provide administrative support to senior executives ensuring seamless day-to-day operations.
- Manage complex calendars coordinate meetings and prepare agendas and materials.
- Draft review and proofread professional correspondence documents and presentations.
- Assist in the development of financial and operational reports and performance dashboards.
- Track project timelines deliverables and maintain accurate documentation.
- Organize and maintain digital filing systems ensuring confidentiality and data security.
- Serve as a liaison between internal departments and external stakeholders.
- Perform general administrative tasks and ad-hoc support as required.
Recruitment & Resource Management
- Lead full-cycle recruitment: sourcing screening interviewing and offer coordination.
- Collaborate with department leads to forecast hiring needs and manage internal resourcing.
- Maintain candidate pipelines and provide weekly recruitment and staffing reports.
- Oversee internal staffing placements and track resource utilization.
- Coordinate onboarding processes in partnership with the HR team.
- Monitor key recruitment metrics (e.g. time-to-fill quality of hire resourcing gaps).
- Ensure compliance with hiring policies and employment regulations.
- Continuously optimize recruitment strategies and internal staffing workflows.
Qualifications:
- 4 5 years of experience in executive support recruitment or resource/staffing management.
- Proven ability to balance administrative responsibilities with recruitment functions.
- Proficiency in Google Workspace and/or Microsoft Office (Excel Word PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- High level of professionalism discretion and confidentiality.
- Experience working in hybrid and/or remote environments.
- Familiarity with applicant tracking systems (ATS) and HR platforms.
- Knowledge of the Chicago job market is preferred.
