Job Title: Attendance Secretary

POSITION SUMMARY

The job of Counseling Secretary is done for the purpose ofgreeting families and students to the counseling center receiving and organizing documents for the registrar provide support in registrar duties make appointments for counseling team for student/parent/community meetingsproviding general clerical support information and/or direction as may be assigned; ensuring compliance with state reporting and documenting requirements; and conveying academic related information to appropriate parties. The Counseling Secretary reports to the principal or designee and does not supervise others.

ESSENTIAL RESPONSIBILITIES

  • Communicates with students teachers parents district employees government agencies etc. for the purpose ofsetting up academic planning meetings or mental health check-ins and meetigs
  • Contacts parent/guardian for support with schedule information Synergy Access.
  • Controls student entry and exit from counseling office during school hours.
  • Enters student datain support of registrar.
  • Maintains documents files and records (power of attorneys absence reports) for the purpose of providing up-to-date reference and audit trail for compliance as well as other confidential files.
  • Monitors assigned district activities and/or programdocuments related to counseling.
  • Responds to inquires of staff other educational institutions the public parents and/or students for the purpose of providing information and/or direction
  • Supports assigned school personnel (answer telephones oversee students in the office etc.) for the purpose of ensuring the efficient operation of the site

OTHER RESPONSIBILITIES

  • Serves as back-up to registrar and other secreterial staff greeting and directing responsibilities.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
  • Maintains consistent and predictable attendance to meet the requirements of the position.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

Experience: Prior job related experience paid or volunteer preferably in schools.

Skills: Operate a computer office machines telephone and other technology equipment. Excellent oral and written communication and interpersonal skills. Excellent organization skills. Exellent secretarial/clerical skills including typing filing organizing Skills to communicate with parents students staff and community basic arithmetic calculations operate standard office equipment use English in verbal and written form use correct grammar punctuation and spelling and perform basic clerical functions.

Abilities: Work harmoniously with others. Work and communicate effectively with students parents and school personnel from diverse cultures or backgrounds in English Spanish or other languages related to the job. Work independently without supervision and with minimum oral/written instructions. Ability to sit and/or stand for prolonged periods understand and carry out oral and written instructions maintain confidentiality of student records meet schedules and deadlines read/interpret/apply rules regulations and policies.

Continuing Education/Training Clearances: Pre-employment criminal justice fingerprint clearance and criminal background check.
