Job Description

Essential Elements

The Marketing Activation Coordinator will play a key role in planning coordinating and executing events and experiences that promote Biltmore Farms LLC and its divisions as part of the corporate Biltmore Farms LLC Marketing Brand and Communications team.

Under general supervision the Marketing Activation Coordinator will work with the marketing team to ensure that assigned projects are completed in a timely manner on budget and in accordance with brand guidelines. This position will also assist in all aspects of event marketing from logistics and vendor coordination to promotional strategies and post-event analysis.

This role requires flexibility as some evenings weekends and holidays will be required to support event execution. The ideal candidate is highly organized detail-oriented and comfortable managing multiple projects simultaneously. Strong communication project management and problem-solving skills are essential along with the ability to collaborate with internal and external partners to ensure successful event execution.

Please note that this position is based in-office with occasional remote opportunities.

Duties and Responsibilities

  • Collaborate with the Marketing & Events Specialist to plan and execute marketing events including consumer-facing events tenant-driven experiences corporate functions trade shows and pop-up activations.
  • Oversee event logistics including vendor negotiations catering technology set-up while coordinating and communicating with internal stakeholders.
  • Coordinate the production and distribution of marketing materials including invitations print ads collateral signage and digital assets for all Biltmore Farms divisions.
  • Develop event registration processes for tenants vendors and consumers as needed and oversee on-site check-in procedures.
  • Act as a primary point of contact for event vendors partners sponsors and tenants.
  • Assist in coding/processing invoices and ensuring cost-effective event execution.
  • Provide on-site event support including setup teardown and troubleshooting as needed.
  • Assist in conducting post-event analysis gathering feedback and performance metrics to optimize future events.
  • Maintain an organized inventory of event supplies and marketing materials.
  • Build and distribute regular marketing reports and analytics.

Education & Experience

A combination of education and experience equivalent to:

  • Bachelors degree in marketing communications business administration or a related field; AND
  • Minimum of one (1) year of experience in event coordination marketing or a related role.

Preferred Qualifications:

  • Experience in event planning coordination and logistics.
  • Proficiency in Excel Word Outlook and Asana.
  • Familiarity with marketing tools such as Canva Adobe Creative Suite or WordPress.
  • Experience in social media marketing and event promotion.
  • Basic photography/videography skills for event documentation.

Knowledge Skills and Abilities:

  • Ability to work a flexible schedule including occasional evenings weekends and/or holidays as required by event schedules.
  • Ability to work independently while collaborating with cross-functional teams.
  • Strong organizational and time-management skills to handle multiple projects and events.
  • Excellent written and verbal communication skills.
  • Ability to problem solve quickly in fast-paced event settings.
  • Ability to adjust to ever-changing priorities and multi-task.
  • Communicate professionally and effectively with vendors colleagues leadership team partners and clients.
  • Ability to adjust marketing and communications materials as needed by understanding the intended messaging and audience.
  • Ability to complete projects on time and within budget.

Physical Requirements

  • Finger agility grasping writing standing sitting frequent walking repetitive motions and visual acuity.
  • Ability to lift and transport event materials up to 35 pounds.
  • Ability to work indoors and outdoors in varying weather conditions.
