SUMMARY: The Administrative Assistant for the Emergency Department (ED) provides essential administrative and clerical support to ensure the efficient and effective operation of the ED. This role facilitates communication between clinical staff patients and external parties while maintaining accurate records and assisting with departmental coordination in a fast-paced high-pressure environment.

Key Responsibilities:

  • Greet and assist patients families and visitors in the Emergency Department
  • Answer and triage phone calls; relay messages to ED staff promptly
  • Assist with tracking patient flow bed assignments and transfers
  • Coordinate communication between ED staff lab imaging and other hospital departments
  • Monitor and order supplies for the ED; ensure administrative resources are available
  • Prepare and distribute departmental reports memos and correspondence
  • Assist with onboarding paperwork and training schedules for new ED staff as needed
  • Support compliance with hospital policies HIPAA regulations and patient privacy standards
  • Provide general administrative support including filing scanning copying and data entry
  • Assist with the transport of specimens to the laboratory.
  • Assist in the transport of patients.
  • Data entry

EDUCATIONAL/EXPERIENCE REQUIREMENTS: High school diploma or equivalent preferred.

EXPERIENCE REQUIREMENTS:

  • Minimum 12 years of clerical or administrative experience in a healthcare or emergency setting preferred.

LICENSURE / CERTIFICATION REQUIREMENTS:

  • Current CNA preferred.
  • Current CPR certification required

OTHER REQUIREMENTS:

  • Ability to function well under pressure and multitask in a fast-paced environment
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite and EHR systems (e.g. Epic Cerner Meditech)
  • Strong organizational skills and attention to detail
  • Familiarity with medical terminology and emergency department procedures is strongly preferred
