ANNOUNCEMENT OF POSITION
Title of Position: CTE PRINCIPAL CLERK 11 MONTH POSITION ANTICIPATED OPENING (Grant funded)
Work Year: 201 Days- School Year Plus (10 days after school gets out and 10 days before the school year starts)
Effective Date of Employment: Immediately
Salary:
In accordance with the Clerical Salary Scale. $37004 to $41975
Organizational Relationship Authority:
Directly responsible to the CTE Supervisor and/or his/her designee
Performance Responsibilities:
- Perform a variety of clerical tasks related to the functions of the assigned school office and/or programs.
- Answer and direct telephone calls transfer calls to the appropriate individual or department take messages and refer callers to the appropriate staff members.
- Exhibit strong communication and interpersonal skills when interacting with colleagues students administrators parents/guardians visitors and the community.
- Schedule appointments and coordinate meetings.
- Maintain and update Career and Technical Education (CTE) databases spreadsheets and related administrative systems.
- Prepare memos correspondence and reports from handwritten notes verbal directions or digital sources including updating the school webpage and calendar.
- Organize and maintain both digital and physical filing systems.
- Coordinate CTE supply purchase orders including receiving distributing and storing supplies and office materials while maintaining inventory records for office equipment and materials.
- Prepare field trip forms and arrange and manage transportation including POs and Invoices
- Complete facilities request forms for CTE-related activities and assist with setup and breakdown.
- Process media request forms for various activities and functions.
- Prepare and manage weekly payroll for CTE personnel.
- Prioritize assignments to ensure efficiency effectiveness and compliance with established deadlines.
- Monitor and track grant budget expenditures using BudgetSense and perform related financial tasks.
- Collect and manage student event funds including payments for field trips uniforms ticket sales yearbooks dances fundraisers and student fees.
- Welcome and escort CTE guests and ensure proper protocols are followed for building access.
- Set up guest Wi-Fi access as needed.
- Keep personnel records current and organized.
- Ensure an orderly and well-maintained office environment.
- Assist students with MassHire paperwork and work permits
- Maintain accurate attendance records for both students and staff.
- Schedule student appointments issue passes and coordinate student arrivals as needed.
- Work collaboratively with CTE staff to collect and process data reports and forms.
- Perform additional general duties as assigned by the CTE Supervisor or designated representative.
- Process and track staff leave requests manually and within the district database system.
- Handle confidential student and staff information with discretion ensuring compliance with policies and procedures.
- Demonstrate ethical and professional conduct in all communications and workplace interactions.
Training:
All Principal Clerks will receive the necessary training to fulfill their job duties and responsibilities effectively.
Qualifications:
- High school diploma or GED required.
- Post-secondary education training or relevant life experience preferred.
- Prior secretarial and/or clerical experience preferred.
- Excellent interpersonal and communication skills.
- Strong time management and organizational abilities.
- Experience with payroll and purchasing preferred.
- Ability to perform clerical tasks with minimal supervision.
- Self-motivated with the ability to work independently.
- Proficiency in verbal and written communication.
- Capacity to multitask effectively.
- Competence in operating standard office equipment including computers and various business machines.
