Who You Are:

You are a motivated and organized individual who enjoys working in an ever-changing environment and has a keen eye for attention to detail. You are ready to learn new skills in a fast paced and growing industry with a focus on efficiency organization and strong communication to ensure smooth daily operations for our executives. In this role you will provide high-level administrative and office support to our Co-CEO and oversee various office operations including potential to manage other administration professionals.

The Impact You Will Have:

  • As an Executive Assistant with QTS you will have the opportunity to work with our Co-CEO and executives across the organization and supporting them to be successful in their day-to-day roles.
  • For QTS our Executive Assistants are a crucial element in our Executive Support organization and a key part of our team and provide more than just administrative support. With customer service in mind you will not only work with executives but their teams in prioritizing meetings communications and needs of our executive team.

What You Will Do:

  • Manage our Co-CEOs calendar scheduling meetings and handling complex scheduling needs
  • Demonstrate proactiveness by filtering calls emails and visitors to ensure the executives time is used effectively
  • Arrange travel itineraries book flights hotels and transportation
  • Handle incoming and outgoing communication including emails phone calls and correspondence and act as a point of contact for the executive.
  • Anticipate needs by organizing and maintaining documents preparing reports and creating presentations
  • Assist with special projects and tasks as needed to support the executives needs and objectives
  • Prepare meeting agendas take minutes as needed and ensure efficient meeting flow

What You Will Need to be Successful:

  • Two or more years of experience in an administrative function
  • Strong communication skills
  • Proficiency with technology including MS Office email and other relevant programs
  • Attention to detail and accuracy
  • Problem solving skills
  • Ability to operate with discretion and confidentiality

Other Key Skills:

  • Analytical skills including the ability to perform basic spreadsheet functions
  • Experience assisting with event planning including coordinating logistics and ensuring smooth execution
  • Experience writing communications on behalf of leaders for distribution
