Position Overview:
As a Senior Administrator and Finance Coordinator you will provide essential administrative and financial support to the company. This role focuses on bookkeeping accounts payable tax document preparation and financial reconciliations while also handling general administrative tasks. The ideal candidate should have a solid foundation in accounting strong organizational skills and attention to you are highly organized detail-oriented proactive and possessstrong communication and problem-solving skills this opportunity is for you!
Key Responsibilities:
Administrative & Office Support
- Facilitate partner signatures and provide general administrative assistance.
- Assist with document preparation mail distribution and general office organization.
- Organize and maintain digital and physical filing systems.
- Assist with investor communications including contact updates and documentation.
- Maintain Notary certification.
Financial & Accounting Responsibilities
- Process and code invoices obtain proper invoice approvals maintain accounts payable spreadsheets and process bi-weekly check runs.
- Review bank reconciliations and prepare credit card reconciliations.
- Assist with the preparation and distribution of monthly and quarterly financial reports.
- Track and manage real estate tax payments for multiple projects.
- Create and pay invoices for reimbursable costs.
- Maintain check inventory and order checks as needed.
Banking Responsibilities
- Assist with opening new bank accounts and updating related master schedules.
- Prepare and record bank deposits and other bank transactions for approximately 50 accounts.
- Submit Positive Pay details.
Tax & Compliance
- Assist in the preparation and distribution of 1099s 1096s and K-1s.
- Verify investor contact details before distributing tax documents.
- Obtain necessary signatures and coordinate e-filing with accountants.
- Record year-end tax journal entries and update the master tax schedule.
Due Diligence & Reporting
- Support financial due diligence for acquisitions sales and financing of assets.
- Assist in preparing financial summaries and investor-related reports.
Qualifications & Skills:
- Experience in bookkeeping accounting or financial administration.
- Proficiency in Microsoft Excel and accounting software.
- Strong organizational and analytical skills.
- Detail-oriented with the ability to multitask efficiently.
- Ability to handle confidential information with discretion.
