Job Description

SUMMARY

Provides clerical support for warehouse management and supervisory staff. Helps manage inventory assists with daily office needs and preps paperwork for install leads.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Ensure daily work is provided for field installers
  • Verify that information and paperwork is completed for each job
  • Create Vendor Purchase Orders
  • Assemble Lead Installer paperwork packets that will include: packing lists drawings notes etc.
  • After project completion ensure filed accurately and install notes are passed along to Project Managers
  • Use CRM program (CORE) to verify that orders are ready for scheduling and installation
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Write and distribute email correspondence memos letters faxes and forms
  • Develop and maintain a filing system managing all paperwork in the office
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Submit and reconcile expense reports
  • Takes packing lists to warehouse
  • Other duties as assigned by Installation Manager

EDUCATION and /or EXPERIENCE

  • Installation/Warehouse administrative experience preferred
  • Proven experience as an Administrative assistant or Office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • High School degree
