Position Overview:
The Executive Vice President of Operations is a senior executive role responsible for overseeing all property management activities at Bell Properties Inc. This position reports directly to the Chief Executive Officer (CEO) and works closely with other members of the executive team to ensure operational excellence and the achievement of strategic goals.


The Executive Vice President of Operations will lead the property management team develop and implement policies and ensure compliance with industry standards regulatory requirements and client expectations. The ideal candidate will be a visionary leader with extensive experience in property management and a proven track record of driving operational efficiency and client satisfaction.


Key Responsibilities:

1. Strategic Leadership:

  • Collaborate with the CEO to develop and execute the companys strategic goals and initiatives.
  • Lead the property management division ensuring alignment with the companys mission and vision.

2. Operational Oversight:

  • Oversee all property management operations including tenant relations leasing maintenance compliance and financial performance.
  • Coordinate training individual and team development plans with the Human Resources department and managers.
  • Ensure properties are managed in accordance with client expectations management contracts regulatory requirements and best practices.
  • Develop and implement operational policies procedures and performance metrics to drive efficiency and quality.

3. Team Leadership:

  • Provide leadership mentorship and direction to the property management team fostering a culture of accountability and excellence.
  • Recruit train and retain top talent to support the companys growth and operational needs.
  • Develop the leadership team to support staff development company culture and excellence.

4. Client Relations:

  • Build and maintain strong relationships with property owners asset managers and stakeholders ensuring client satisfaction and trust.
  • Serve as the primary point of contact for escalated client concerns and issues.

5. Financial Management:

  • Oversee property budgets financial reporting and performance analysis to ensure profitability and cost control.
  • Collaborate with the Accounting Department to ensure accurate and timely financial reporting.

6. Regulatory Compliance:

  • Ensure compliance with local state and federal laws and regulations governing property management.
  • Oversee compliance with fair housing laws landlordtenant laws and other relevant regulations.

7. Business Development:

  • Support the business development team in acquiring new clients and expanding the company portfolio.
  • Complete and submit RFPs and transition awarded contracts. Identify and evaluate opportunities for growth and market expansion.

KPIs

Financial Management KPIs

  1. Portfolio Profitability: Percentage of properties meeting or exceeding profitability targets.
  2. Operating Expense Ratio: Ratio of operating expenses to gross income for the portfolio.
  3. Budget Variance: Percentage variance between budgeted and actual expenditures.
  4. Accounts Receivable Turnover: Average number of days to collect tenant receivables.
  5. Cost Savings: Amount of cost reductions achieved through operational efficiencies.

Staff Management KPIs

  1. Employee Retention Rate: Percentage of staff retained annually.
  2. Employee Engagement Score: Average score from staff engagement and satisfaction surveys.
  3. Staff Productivity: Ratio of units managed per property management staff member.
  4. Training Completion Rate: Percentage of staff completing required training programs within deadlines.
  5. Time to Fill Vacancies: Average time to hire for open staff positions.

Service Issues and Work Order KPIs

  1. Work Order Completion Time: Average time to resolve service requests.
  2. FirstTime Fix Rate: Percentage of service requests resolved on the first attempt.
  3. Backlog of Work Orders: Number of unresolved work orders older than 7 days.
  4. Emergency Response Time: Average response time for emergency service requests.
  5. Tenant Service Satisfaction: Percentage of positive feedback from tenants on service requests.

Client Satisfaction KPIs

  1. Client Retention Rate: Percentage of clients retained annually.
  2. Net Promoter Score (NPS): Measure of client willingness to recommend Bell Properties.
  3. Client Feedback Response Time: Average time taken to address client inquiries or complaints.

Staff Development and Hiring KPIs

  1. Internal Promotion Rate: Percentage of leadership roles filled by internal candidates.
  2. New Hire Quality Index: Performance rating of new hires within their first year.
  3. Employee retention: Maintain a low turnover rate (less than 5%) and promote a happy workforce.

Legal: Promote exceptional maintenance oversight promoting a safe workplace and quick work order closure rate that minimizes legal suits *(The goal is 0 lawsuits per year) and minimizes tenant complaints.

Offering company ownership on a vesting schedule: 10% company ownership earned after 36 months of successful employment and 15% after 96 consecutive months of employment. Company ownership vesting will be considered null and void if termination for cause or resignation occurs prior to reaching the 36 or 96 month thresholds. This position is not guaranteed for any preset period of time and is atwill.

Requirements

  • Bachelors degree in business administration real estate or a related field (Masters degree preferred).
  • Minimum of 10 years of experience in property management with at least 5 years in a leadership role.
  • Proven track record of managing a diverse portfolio of properties including residential commercial and industrial assets.
  • Strong knowledge of property management software (Yardi and Rent Manager) financial reporting and regulatory compliance.
  • Excellent leadership communication and problemsolving skills.
  • Ability to work collaboratively and adapt to a fastpaced dynamic environment.
  • This position may require work beyond 8a 5pm as the leader of the operations team.

Additional Information:
This position is classified as atwill employment meaning that either the employee or Bell Properties Inc. may terminate the employment relationship at any time with or without notice or cause.


Compensation: Competitive salary and benefits package commensurate with experience. Opportunity for profit sharing.

NonCompete Clause

As a condition of employment with Bell Properties Inc. the Executive Vice President of Operations agrees to the following terms regarding competition and confidentiality during and after their employment:


1. NonCompetition During Employment:

The Executive Vice President of Operations shall devote their full professional time and attention to the business of Bell Properties Inc. and shall not engage in any activity that directly or indirectly competes with the companys business operations including property management services real estate development or related activities.


2. PostEmployment NonCompete Obligation:

For a period of 36 months following the termination of employment the Executive Vice President of Operations shall not:

  • Own manage operate control be employed by or consult with any business that directly competes with Bell Properties Inc. in the geographic region where the company operates specifically within California.
  • Solicit or accept business from any current or past clients vendors or partners of Bell Properties Inc. for services similar to those provided by the company.


4. NonSolicitation of Employees and Clients:

For a period of 36 months after termination the Executive Vice President of Operations shall not:

  • Solicit or attempt to hire any current employees of Bell Properties Inc. or induce them to leave their employment with the company.
  • Solicit any clients property owners or tenants of Bell Properties Inc. to terminate their relationship with the company or engage with a competitor.


5. Exceptions:

This noncompete clause shall not prohibit the Executive Vice President of Operations from engaging in activities unrelated to property management real estate or services directly competitive with Bell Properties Inc. provided such activities do not conflict with the companys interests.


6. Acknowledgment of Reasonableness:

The Executive Vice President of Operations acknowledges and agrees that the restrictions outlined in this noncompete clause are reasonable in scope duration and geographic area and are necessary to protect the legitimate business interests of Bell Properties Inc.

7. Enforcement:

If any provision of this noncompete clause is found to be unenforceable or invalid under applicable law the remaining provisions shall remain in full force and effect. If necessary a court may revise the scope duration or geographic area of this clause to make it enforceable.


Note: This noncompete clause is subject to compliance with applicable state laws including any restrictions on the enforceability of noncompete agreements (e.g. California law limits noncompete clauses in many circumstances).
