Job Description

Accounts Payable Specialist


SUMMARY
Seeking a professional to support the Accounting Department with accounts payable responsibilities and a range of general accounting tasks. This is a parttime position averaging 24 to 28 hours per week

We have a rich history of supporting bright students who struggle with learning disabilities and attention disorders as well as promoting evidencebased literacy instruction for all.

PRIMARY RESPONSIBILITIES
Accounts Payable:
  • Organizing verifying coding and entering invoices into Great Plains.
  • Run checks weekly.
  • Maintain vendor records and vendor files.
  • Prepare 1099 forms annually.
  • Enter corporate credit card expenses into the accounting system based on standard procedure.
Compliance:
  • Provides account reconciliations between General Ledger balances vendor billings tax and other deduction and contribution source data.
  • Completes or assists with the completion of compliancerelated reports.
  • Coordinate with the Saint Louis Park school district for reimbursement of curriculum and counseling expenditures.
Purchasing:
  • Process purchase orders as needed based on accounting procedures.
  • Maintain St Louis Park nonpublic funds records and inventory. Process request to Saint Louis Park for material.
  • Approve purchase requests from staff and faculty through Amazon and other online systems
Inventory:
  • Maintain all Groves Literacy Partnerships inventory records.
  • Reconcile monthly to the General Ledger and to the physical count
  • Identify pricing discrepancies and follow through with the vendors.
Fixed assets:
  • Maintain and update fixed asset records.
  • Ensure consistent depreciation methods follow corporate accounting policies
General:
  • General Office and Accounting
  • Maintain all A/P filing transportation and monthly deposit filing.
  • Aid in the monthly close process as directed.
  • Help in miscellaneous filing.
  • Manage photocopier and postage machine counts and equipment.
  • Provide annual audit support as directed.
  • Aid with bank deposits or post office errands.
  • Order all buses for afterschool athletics and field trips.
  • Generate monthly accounting reports.
  • Reconcile all Groves credit cards expenses and payments.
  • Cross training in accounts receivable and general accounting as needed.

SECONDARY RESPONSIBILITIES
Performs miscellaneous projects and completes various tasks as requested by management.


JOB SPECIFICATIONS
Education Experience and Credentials
  • Associates degree in accounting or equivalent work experience.
  • Two years minimum experience directly related to the duties and responsibilities specified required.
Knowledge Skills and Abilities
  • Knowledge of computerized information systems used in financial and/or accounting applications. Salesforce and Great Plains are desirable.
  • Knowledge of Microsoft applications such as Word Excel PowerPoint Outlook.
  • Able to plan prioritize coordinate and manage your work with high accuracy and attention to detail.
  • Able to work unsupervised make decisions independently and solve problems effectively and creatively.
  • High customer service responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to Groves Learning.
  • Understand and keep the confidential nature of student organization and employee information including and following HIPAA regulations.
  • Show professional knowledge ability and initiative in achieving goals and meeting standards.

PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB
Incumbent must be able to:
  • Hear speak and effectively verbally communicate in the English language including following oral and written instructions to communicate with people inside and outside the organization.
  • Sit at a desk for extended periods of time and perform long hours of work sitting at a computer.
  • Apply manual dexterity and visual acuity for computer keyboarding and office equipment use and to review detailed reports and information.
  • Move around the school and office area repeatedly throughout the day.

TOOLS AND EQUIPMENT USED
Incumbent must be able to use computers telephones photocopiers and related office equipment.

WORK ENVIRONMENT
The work environment is indoors.

Location: 100 onsite during training; possible hybrid after training.
