QUALIFICATIONS
Education/Experience
Masters Degree in Business Administration or related Masters degree is required with a minimum of 58 years of appropriate experience.
A working knowledge of health care and academic medicine is preferred preferably in a complex setting.

GENERAL OVERVIEW:
Reporting to the President the Chief of Staff and Administrative Director is responsible for the coordination integration and overall management of the activities operations and budget of the Office of the President. The incumbent will oversee operations staff and budget; act as the Presidents representative and ambassador in meetings with internal and external constituents or in other forums as directed; complete and/or oversee special projects for the President.
RESPONSIBILITIES:
STRATEGY AND SPECIAL PROJECTS
Function as the Presidents Chief of Staff to coordinate integrate and articulate Presidents thinking and strategic planning with external and internal constituents.
Serve as the lead and the spokesperson for the President on external and internal special projects and committees.
Coordinate Presidents strategic planning with the VP for Strategy and Implementation and team and coordinate agendas outputs and materials for all strategy planning activities in conjunction with this team.
PROBLEM SOLVING
Responsible for the intake and triage of issues anticipate the demands on and needs of the President and mitigate unnecessary contacts issues or demands including those of a sensitive or confidential nature.
Facilitate communication between and work closely with the Presidents Senior Team the Chairs and the Board.
Ensure that relevant issue information is made available to the President.
Ensure that appropriate followup actions are taken and involved participants are notified.
Initiate subsequent followup meetings and communication for key stakeholders as directed.
ADMINISTRATIVE/OPERATIONS
Create a professional front door of the Presidents Office.
Oversee operation staff and budget of the Office of the President including the Presidents Fund.
Serve as confidential liaison to Board members.
Responsible for the supervision of the Executive Assistant (EA) to the President; Oversee that the following responsibilities are completed by the EA or appropriate staff as appropriate:
oProvide direction and support to EA in managing complex calendar issues
oWorking closely with Development/EA organize on and offsite dinner meetings etc.
oSchedule internal Board meetings committees councils task forces and board meetings that are chaired by the President.
oArrange/coordinate complex and detailed travel plans and itineraries.
oSchedule annual interviews of all direct reports.
Responsible for the management supervision and development of EAs in the Executive Suite in collaboration with their senior leaders.
Ensure Board meetings committees councils and task forces are scheduled and organized; manage the agenda and all followup requirements.
Manage the Presidents direct report annual review process and ensure that scheduling is completed by the Presidents EA.
Ensure appropriate management with the Presidents EA: complex calendar issues; prioritize conflicting needs; handle matters expeditiously proactively; and follow through to successful completion often with deadlines.
Manage and oversee the Deland Fellowship Program.
Working closely with Communication/Public Affairs 1 develop speaking points and speeches with appropriate support staff to ensure accuracy and coordination; and 2 prioritize the Presidents calendar for external meetings and events.
Work with the President on employment transitions for senior leaders and chairs.
Work in Partnership with Strategy Communications / Public Affairs and Development:
COMMUNICATION / PUBLIC AFFAIRS
Manage research and preparation of speeches presentations and talking points for the President especially for external events.
Review and recommend meeting/event requests.
Develop and recommend board agenda/content.
Review correspondence and draft responses for the President as appropriate or forward to the appropriate person for response and/or reply.
Ensure timely flow of information to and from the President with internal and external constituents.
Ensure that balanced timely and relevant issue information is made available to President.
Coordinate compose and complete Board letters or other required communication.
Assist with report writing.
Coordinate academic activities including scheduling oversight deadline management
Perform research as needed for academic or administrative reports.
Assist with the review and preparation of PowerPoint presentations for academic addresses.
Ensure planning for high level internal and external committees and board meetings.

Coordinate Presidents strategic planning with the VP for Strategy and Implementation and team and coordinate agendas outputs and materials for all strategy planning activities in conjunction with this team.
Coordinate strategic planning calendar with Presidents schedule.
DEVELOPMENT AND EVENTS PLANNING AND MANAGEMENT
Coordinate Board meeting logistics special events and appearances.
Coordinate donor contacts; problemsolving for donors.
