We are seeking a Leasing Administrator to administrate the leasing function for the appointed shopping centre. Ensuring that leases for tenants are correct and approved by the necessary authorities.
DUTIES
Leasing Administration
Understanding the Leasing Strategy including:
- Tenant mix
- Tenant requirements
- Budgeted rentals
- Lease Documentation
Responsible for the preparation review and distribution of the necessary documentation for acceptance/approval:
- Understands and implements timely and accurate Leasing Processes and Procedures.
- Preparation of Offer to Lease Documentation as per mandate.
- Ensure timely return and accurate of Offer to Lease and necessary supporting documentation by tenant.
- Ensure Business Plan for new tenant accompanies the signed Offer to Lease.
- Preparation of Tenant Release Form (TRF) for approval.
- Preparation and distribution of Letter of Acceptance
- Prepare Lease Capture Form (LCF)
- Preparation of Lease Agreement accordingly
- Follow up on all FICA documentation credit checks bank codes and check tenant references.
- Responsible for acquiring all related information for Surety / Deed of Guarantee Reviews
- Responsible for TPN credit checks
- POPI Act compliancy
Assist with the canvassing:
- Determine real tenant interest and set up meetings
- Learn to negotiate leases
Responsible for accurate and timely reports:
- Leasing Meeting Reports
- Risk & Tracking Reports
- Monthly Management Reports relating to leasing.
- Responsible for effective and secure filing of all lease and related documents and tenant correspondence.
- Ensure all signed leases are uploaded on MRI.
- Understanding and accurate interpretation of legal terms and legal implication of Standard Lease Clauses.
- Responsible for tenant interaction and correspondence in terms of finalizing the lease administration documentation.
- Responsible for timely collection of Tenant Deposits.
- Responsible for timely Lease Finalization.
- Any other duties related to loading and processing of new leases and lease renewals
Requirements
- Relevant tertiary qualification
- 2 years in a similar role
- Property experience preferable
- Computer Literacy Microsoft Office and MDA
