SummaryThe Support Services Coordinator is responsible for various administrative tasks that include completing domestic bills of ladings processing invoices and processing arrival notices. A Support Services Coordinator will also learn how to complete applications of contract rates or tariff rates and communicate effectively and expediently with various regulatory agencies and customers. Essential Responsibilities: - Review premanifest lists stow plan lists and manifests to ensure all boarded shipments (northbound and southbound) are correctly documented invoiced and communicated to the customer.
- Prepare and enter all description information for accurate completion of the ocean bill of ladings and invoices while maintaining a high level of accuracy.
- Regularly follow up with Customers and Account Managers regarding customer inquiries and assist with any discrepancies to ensure deadlines are met and customers expectations are exceeded.
- Validate all data elements for accuracy against shippers paperwork and escalate any inconsistencies in paperwork to the Account Manager or Customer to ensure efficient exportation of cargo.
- Ensure that service commitments are achieved and maintained.
- Issue and submit documentation in compliance with all relevant laws and best practices.
- Document shipments per regulatory guidelines including but not limited to In Bond USDA US Customs Hazardous Schedule B and HTS Code requirements.
- Ensure appropriate application of rates to customer invoices per Trailer Bridge pricing contracts/tariffs.
- Ensure documentation status reports are updated in a timely manner.
- Issue invoicing including attaching backup paperwork when required and per customer profiles when assigned.
- Receive and scan all shipment Proof of Delivery for shipments according to retention policies.
- Generate Arrival notices for customers prior to vessel arrival.
- Completion of barge objectives within scheduled deadlines.
- Continually pursue cross training within the department and organization.
- Support the culture of Trailer Bridge by modeling and encouraging the TB12 Trailer Bridges core values
- Other duties as assigned by Support Services Manager.
Qualifications: - 12 years professional or relevant internship experience required preferably within the supply chain industry.
- Proficiency in MS Office (Outlook MS Word Excel and PowerPoint).
- Proficiency in AS400 preferred.
- Ability to multitask and meet changing deadlines and priorities.
- Strong sense of urgency.
- Strong Interpersonal skills with the ability to provide a highlevel of customer service to internal and external stakeholders.
- Preferred familiarity with applicable regulations and customs reporting and filing requirements.
- Excellent verbal and written communication skills.
- Analytical skills with attention to detail.
- Team and production oriented.
