Position Summary:
Under general supervision provides a wide variety of administrative and secretarial support for assigned department or work unit. Administers programs projects and/or processes specific to the department. May assist in the preparation and control of departmental records and reports regarding operations.
Key Responsibilities:
Relying on experience and knowledge the Administrative Assistant III is responsible for accomplishing the following assignments. These assignments reflect substantial variety and complexity and are broad in nature.
- Perform word processing duties for the department that may include the creation of memos correspondence reports and presentations.
- Input data into spreadsheets databases or other departmental systems.
- Coordinate department schedules including establishing agendas and managing appointments.
- Answer phones forward calls and take messages.
- Order office supplies and maintain supply stock for department.
- Oversee incoming and outgoing mail distribution.
- Coordinate department meetings; arrange use of conference rooms.
- Serve as a contact for both internal and external clients.
- Maintain departmental files and may coordinate offsite storage.
- May arrange and coordinate business travel as directed by management.
- Follow work plans established timelines and predefined goals for assigned work.
- Meet commitments on deadlines.
- Possess strong customer focus and high service level relationship with clients.

- Perform work thoroughly in a costefficient manner and at a high productivity level.
- Utilize company resources effectively.
Business Controls and Policies
- Comply with all corporate policies and procedures.
- Take all reasonable steps to safeguard company assets against waste loss unauthorized use and misappropriation.
- Report any breakdown in controls to a supervisor or manager.
People Management
- No people management responsibility
- May orient train assign or review the work of less experienced employees.
Position Knowledge Skills and Requirements:
Education
- High school diploma or equivalent
Experience
- Minimum of five years of relevant administrative support experience
Other
- Possess and have ability to apply knowledge of principles practices and procedures
- Solid written and verbal communication skills with an emphasis on confidentiality tact and diplomacy
- Advanced organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
- Intermediate proficiency and experience using Microsoft Office package (Excel Access PowerPoint Word)
Working Conditions and Physical Demands:
- Overtime hours may be required to fulfill job responsibilities
- May require a valid drivers license
- May be required to remain stationary for extended periods of time
- May be required to move up to 10 pounds
- Must be able to operate a computer and other devices
- Close vision and ability to adjust focus such as required to read a computer screen
