Description

Position Title: Academic Advisor
Department: Registrar
Reports to: Registrar
FLSA Classification: Exempt


Position Summary: The Academic Advisor serves graduatelevel students by providing guidance on degree planning course scheduling and registration. This role helps students navigate the academic and administrative processes of the seminary to successfully complete their program requirements while supporting retention and academic success.

Essential Functions

Student Advising Registration & Retention

  • Maintain a caseload of enrolled students assisting them in degree planning and course registration.
  • Develop educational plans consistent with students ministry and vocational goals.
  • Provide accurate information to students about institutional policies as outlined in the Academic Catalog.
  • Monitor student progress tracking degree completion and identifying registration barriers.
  • Notify students when the registration window opens and facilitate course registration.
  • Stay informed of course schedules and notify the Registrar of conflicts or additional course section needs.
  • Maintain regular communication with unregistered students during open enrollment.
  • Ensure graduating students are registered for appropriate courses in their final semester.
  • Identify and support atrisk students by providing guidance and connecting them with institutional resources.

Data Management & Reporting

  • Conduct semiannual updates on student degree progress.
  • Monitor student enrollment and registration trends to inform advising strategies.
  • Maintain accurate student records in the database updating correspondence such as email reminders registration deadlines and other relevant communications.

Collaboration & Institutional Support

  • Work closely with the Admissions Financial Aid and Academic departments to ensure a seamless student experience.
  • Meet with prospective students during campus visits to provide academic guidance.
  • Assist with special projects and training sessions.

Institutional Engagement & Workplace Priorities

  • All fulltime employees are required to attend semiannual training events (e.g. Asbury CARES) as part of their professional responsibilities.
  • Employees must arrange their schedules to ensure availability for all mandatory meetings and institutional events.
  • Fulltime employees who are also enrolled in courses must prioritize their work responsibilities over academic coursework during scheduled work hours.
  • Employees are expected to actively participate in institutional discussions and engagement opportunities that support collaboration and departmentwide goals.

Other Duties or Responsibilities as Assigned

Preferred Qualifications & Experience

  • Bachelors degree required; Masters degree preferred.
  • Previous experience in higher education enrollment management academic advising or ministry experience preferred.
  • Strong interpersonal organizational and communication skills.
  • Proficient in Microsoft Office specifically Excel and Word.
  • Ability to work independently collaboratively and under supervision in a fastpaced setting.
  • Willingness to work extended hours during peak academic periods including evenings and weekends.
  • Selfmotivated solutionsoriented and a strong team player.
  • Commitment to supporting student success and retention.
  • Demonstrates a positive attitude adaptability to changing priorities and a willingness to receive and apply feedback in a collaborative work environment
