Description

Job Title: Administrative Assistant for Student Life and Community Formation
Department: Student Life and Community Formation
Reports To: Director of Student Life and Community Formation
FLSA Status: NonExempt FullTime

Position Overview

The Administrative Assistant for Student Life and Community Formation ensures the efficient operation of departmental initiatives through administrative operational and fiscal support. This role involves managing financial records coordinating office operations and facilitating communication within and outside the department.

Key Responsibilities

1. Fiscal Management

  • Process payment requests purchase orders and deposits for the department.
  • Coordinate with the Business Office to ensure timely financial operations.
  • Collaborate with the VPs Executive Assistant to:
    • Communicate with counseling providers regarding referral and billing issues.
    • Maintain accurate financial records for counseling referrals.

2. Operational Support

  • Provide administrative assistance for student housing including billing movein/out processes and resolving issues.
  • Manage oncampus parking logistics.
  • Coordinate event meeting and room reservation schedules.
  • Support childcare program operations including worker scheduling and issue management.
  • Assign and monitor tasks for student workers to ensure project completion.
  • Maintain office equipment and supplies.

3. Administrative Support

  • Provide general administrative support to all Student Life and Community Formation programs.
  • Assist the Director with phone email event planning and mail management tasks.
  • Support hospitality initiatives as directed.
  • Collaborate with the VPs Executive Assistant on updates to the Student Handbook.
  • Participate in leadership team meetings contributing to planning and communication efforts.

Qualifications and Skills

Required Skills

  • Strong administrative organizational and problemsolving abilities with keen attention to detail.
  • Experience with fiscal management including recordkeeping and basic accounting.
  • Ability to develop and maintain effective operational systems.
  • Excellent interpersonal skills demonstrating professionalism and confidentiality.
  • Selfmotivation with the ability to anticipate and respond to departmental needs.
  • Proficiency with Microsoft and Google office applications.

Preferred Experience

  • Administrative support experience in higher education or student services.
