Job Description

Reporting to the Senior School Principal the SS Academic and DP Coordinator plays a key role in managing the academic logistics of the Senior School ensuring efficient scheduling recordkeeping and liaising with IB and other academic bodies. The role requires close collaboration with school leadership faculty and administrative staff to maintain high standards of academic programming and student assessment.

This role is critical in maintaining the structure and organisation of the Senior Schools academic programme. The Academic and DP Coordinator ensures that students and faculty have the necessary resources schedules and support to facilitate an optimal learning experience.

Duties and Responsibilities

Including but not limited to the following:

Exam Scheduling & Coordination

  • Organise and oversee exam schedules for IB BC curriculum and mocks including coordinating invigilation training and scheduling.
  • Coordinate exam logistics in collaboration with teaching staff learning support and administrators.
  • Communicate with Parents and Families around exam schedules and logistics

Assessment Calendars

  • Develop and maintain academic assessment calendars to balance student workload while ensuring the valuable and reasonable use of assessment as a critical aspect of teaching and learning.
  • Work closely with the SSLT to ensure academic assessment calendars are aligned with school values and strategic priorities.

Liaising with the IB

  • Request and coordinate accommodations for students requiring special arrangements from the IB.
  • Manage IB registration and changes ensuring compliance with deadlines and policies.
  • Oversee record distribution including IB course tracking for Senior School Students.
  • Ensure timely distribution of IB publications and resources.
  • Oversee sampling and uploading of all required IB assessments for Grade 12 students.
  • Ensure continued compliance and best practice with all IBDP programme developments and requirements
  • Coordinate all communication with the IB in the postresults period of July 58 and beyond as required. This includes requesting remarks and communicating with SSLT UCCD and families as required.

RecordKeeping & Reporting

  • Track student grades and academic progress in collaboration with the University and Careers Counselling Department (UCCD).
  • Manage Enriched Pathways (EP) registration and changes.
  • Oversee student enrollment for and completion of online courses and planning in coordination with UCCD.
  • Prepare academic reports and ensure accurate recordkeeping for transcripts.
  • Handle transcript checks and liaise with UCCD and Senior School Leadership Team (SSLT) regarding academic records.
  • Ensure accurate and consistent reporting of grades within the Toddle LMS system.
  • Ensure all students satisfy all requirements for the BC Dogwood graduation diploma and that all student records transcript and TRAX submission requirements are met (working closely with the SSLT the academic registrar and university counselling team)

Collaboration & Communication

  • Work closely with key school personnel including both Senior School VPs UCCD Senior School Principal and Learning Support team.
  • Ensure smooth communication between academic departments and administrative teams in relation to matters falling within the roles described in this job description.

  • A deep understanding of student wellbeing
  • A commitment to the IB philosophy and an understanding of its implementation in the Senior School
  • Demonstrated ability to work both independently and collaboratively
  • Demonstrated ability to present and communicate to families and students both in person and via email.

This position carries an annual stipend of $3000.00 and a timerelease of 3 hours.
