Job Description

Job Summary:
The Soft Services Manager is responsible for managing and overseeing the soft services and processes that support the facilities management teams and service contracts. This role involves strategic planning and daytoday operations including automated preventive maintenance programs procurement energy management systems building and grounds maintenance cleaning health and safety security utilities and communications infrastructure and space management.

Key Responsibilities:
  • Lead and supervise a team of soft services staff including cleaning security and other related services ensuring effective service delivery.
  • Promote a safety culture and ensure the cleaning team operates in accordance with company and client Health & Safety procedures.
  • Provide documentation/coordination support for the procurement deployment and mobilization of additional works.
  • Act as a custodian for all equipment tools stock etc. as per company safety standards.
  • Coordinate with subordinate operators and staff on callout attendance and work allocation.
  • Interface effectively with all accredited suppliers and contractors to supervise evaluate and report on project works related to new installation works as required.
  • Arrange for the deployment of staff to promptly attend to urgent complaints as per work orders and phone requests.
  • Maintain a contingency plan for providing suitable replacement of staff in the time of absence.
  • Keep abreast of new developments or demonstrate keenness in learning about the assigned field of specialization.
  • Deliver highquality prompt and courteous Facilities Management services in support of customers business needs in a safe working environment.
  • Liaise with the Clients representative regarding all matters outside of agreed delegated levels of authority.
  • Provide training management and guidance to directly employed staff in accordance with the contract and works within the guidelines of the client.
  • Support the implementation of Environmental Health and Safety (EHS) related activities and programs.
Requirements:
  • Understanding of Soft Facilities Management services within the sector.
  • Technical expertise in the field of estate maintenance services.
  • Experience in contract administration.
  • Knowledge of business planning at both strategic and operational levels.
  • Extensive technical expertise particularly in the management of cleaning services.
  • Knowledge of Health & Safety legislation in relation to Facilities Management Services.
  • Significant experience in Facilities Management/landscape management.
  • Experience in delivering soft facilities management services.
  • Experience in writing and presenting reports.
  • Experience in managing budgets effectively.
  • Experience in forward planning and achieving targets.
  • Track record of delivering continuous improvement.
  • Experience of managing and supporting a team delivering facilities management services.
  • Excellent telephone and personal contact manner.
  • Diplomatic and ability to handle and control difficult situations.
  • Highly proactive and selfmotivated capable of handling multiple tasks.
  • Team player good interpersonal skills for subordinates development team building and conflict resolution.
  • Good knowledge of preventive and predictive housekeeping & Janitorial maintenance principles and working procedures.
  • Proficient with PC software and able to write technical reports and procedures.
  • Good command of oral and written English.
