PRONIAs programs focus on direct service delivery including counselling information provision and crisis intervention community education as well on the delivery of specialist services in aged care disabilities family and childrens programs. What you will be doing
As the first point of contact for parents children and visitors you must demonstrate a positive attitude excellent communication skills and an ability to handle a variety of administrative tasks. This role is crucial in ensuring the smooth daytoday operations of the centre while providing outstanding customer service to our community.
Reception and Customer Service Duties
Greet and welcome parents children and visitors in a warm and professional manner.
Maintain a pleasant and professional environment at reception and client waiting areas monitoring and updating client information resources and directing visitors to program areas.
Answer incoming phone calls direct enquiries and provide information regarding programs policies and services.
Respond to email enquiries manage correspondence and all other deliveries to the Alpha Childrens Centre.
Responsible for opening and locking up building on a needtoneed basis.
Process issuing receipts of payments for PRONIA resources and any other donation fees.
Administration Duties
Database input and updating contact details on databases using Child Care Provider Portal KIMS ASEQA Qikkids and EZIDEBIT.
Assist with enrolment paperwork and maintain accurate childrens records.
Processing admissions and fees for playgroups run by Alpha Childrens Centre (PRONIA).
Liaising with the Finance Unit regarding bank statements bank deposits debtors and recovery processing pertaining to the Alpha Childrens Centre and PRONIA playgroups.
Responsible for staffs messages system
Maintain and update stock on all program cost suppliers eg. Stationary office supplies and organising maintenance schedules.
Assist the Centre Manager with scheduling appointments meetings and managing calendars.
Maintain confidentiality and follow all privacy and data protection guidelines when handling sensitive information.
Communication and Coordination
Communicate important information to parents regarding events schedules and updates.
Coordinate communication between staff parents and external stakeholders.
Assist in organising and supporting events and activities within the centre.
Mandatory Requirements
National Police Record Check.
Working with Children Check
Minimum of 2 years experience working in an administrative/receptionist role
First Aid and CPR certification (or willingness to obtain).
Other requirements
Previous experience in an administrative or receptionist role preferably within a childcare or education setting.
Strong verbal and written communication skills.
Exceptional customer service and interpersonal skills.
Proficient in Microsoft Office Suite (Word Excel Outlook etc. and office equipment.
Knowledge and experience in operating telephone Yealink VOIP system.
Experience with childcare management software or databases.
