Job Description

Job Title: Virtual Brokerage Assistant
Location: Remote
Job Type: FullTime
Hours: MF 85 MST

Position Summary:

We are seeking a highly organized and detailoriented Virtual Broker's Assistant to support commercial real estate agents and their broker's assistants with a wide range of backend administrative tasks. This remote role is integral in supporting agents by preparing organizing and managing documents related to complex real estate transactions. The successful candidate will be responsible for a variety of administrative tasks ensuring projects are prioritized and deadlines met in a fastpaced teamoriented environment. Commercial real estate experience is highly desirable but we are open to candidates with exceptional organizational skills and a strong desire to learn.

Key Responsibilities:

Document Preparation & Management:

  • Prepare and assist with the creation of Sale Listing Agreements Lease Listing Agreements Representation Agreements Referral Agreements NonDisclosure Agreements Listing Agreement Extensions and Amendments.

  • Assist in the preparation of Broker Opinion of Value (BOVs).

  • Circulate electronic agreements to parties for (via DocuSign or other platforms).

  • Manage and organize active listing files on the server.

Marketing Support:

  • Coordinate with the marketing team to create and design property flyers offering memorandums and BOVs.

  • Submit design requests for marketing materials.

  • Upload flyers and listing information to marketing platforms (Crexi Loopnet Costar etc. making updates as needed (e.g. changes removals after sale or lease).

  • Work closely with the agent and marketing to plan and execute marketing campaigns.

  • Order property signage and manage sign removals for listed properties.

Open Houses:

  • Assist with the preparation and coordination of open houses for assigned agents.

Leasing Support:

  • Assist agents in preparing Letters of Intent lease agreements lease extensions and lease amendments.

Team Support & Collaboration:

  • Monitor and pick up tasks from the brokerage assistant email pool.

  • Collaborate closely with other broker's assistants to ensure that backend tasks are completed efficiently.

  • Attend and participate in monthly brokerage assistant team meetings.

  • Work with agents marketing teams and other departments to ensure timely and accurate document completion.

Market Research & Data Management:

  • Assist agents with research of potential listing and buyer opportunities (local and regional).

  • Collaborate with the research department to provide comparable property data for agents.

  • Assist agents with collection of data for owner reporting.

Communication & Scheduling:

  • Set up conference calls Zoom meetings and inoffice meetings as needed.

  • Provide administrative support by managing calendars and responding to inquiries promptly.

Required Qualifications:

Experience:

  • Experience in commercial real estate including industrial retail or office properties is strongly preferred.

  • Experience in an administrative/executive assistant role required. Ideally within the real estate industry is a plus.

  • Knowledge of programs such as Adobe Acrobat Pro Microsoft Products Smartsheets DocuSign etc. Real estate platformfamiliarity (e.g. Crexi Colliers HUB Loopnet Costar MLS etc. is highly preferred.

Skills:

  • Strong organizational skills with the ability to prioritize and manage multiple projects and deadlines in a fastpaced environment.

  • Excellent written and verbal communication skills.

  • High attention to detail and accuracy especially when managing documents and coordinating tasks.

  • Ability to handle confidential information with discretion and professionalism.

  • Proactive and solutionoriented with a strong sense of initiative and the ability to work independently.

  • A team player who can collaborate effectively with agents marketing teams and other departments.

  • A work ethic and the ability to adapt to changing needs and priorities.

Work Environment:

  • Remote work environment with the flexibility to work from home.

Preferred Qualifications:

  • Knowledge of or experience with commercial real estate platforms like Landpro CBA and MLS (for certain agents).
