Job Description:
The ESC Leave Management Specialist works in the Employee Service Center as part of a dedicated team of HR professionals, serving over 20,000 Automotive employees in the United States. Responsibilities include the oversight, coordination and tracking of all types of leaves of absence for employees in multiple locations. This includes employee and manager leave counseling, document creation and distribution, leave status and case tracking, STD, and 3rd party offsets. The incumbent serves as a subject matter expert in all areas of leave compliance. The ESC Tier II Leave Management Specialist serves as a liaison between the Employee Service Center, Employees, Managers and Human Resources Business Partners while providing a high-level of support including customer service. Seeking a candidate with prior HR and leave management experience. Must be knowledgeable with employment law and regulatory/statutory requirements.
Responsibilities:
- Functions as a Tier 2 Specialist in support of the ESC Leave team
- Supports escalated calls and tickets from the ESC Generalist and strives to provide a final resolution within targeted service level agreements (SLA)
- Communicates leave concepts to all employees in accordance with customer service guidelines
- Maintains effective leave tracking and reporting systems through review of workflow processes to ensure efficiency, accuracy, and quality
- Determines leave type, eligibility, and approval; calculates appropriate leave length and monitors the maximum duration of leave within applicable local, state and workers compensation laws
- Administers our company sponsored Short-term disability program and is the liaison between the customer and Aetna Disability department for our Long-term disability program according to plan guidelines and established company practices
- Monitors, tracks, coordinates the integration of leave of absence such as FMLA, Military, State mandated leaves, Workers Compensation, Medical and company Personal Leaves of Absence for non-FMLA leaves for all employees
- Reviews & approves certifications and tracks leave usage
- Coordinates with payroll when necessary to ensure Short Term Disability (STD) and third party off set are paid correctly
- Partners with Lead Leave Specialist and in-house legal counsel for guidance on complex items such as the interactive process and ADA accommodation
- Responsible for all communications with the employee, management, Human Resources, and/or any third-party disability vendor during the duration of an employee leave
- Researches and resolves issues by interacting with Payroll and Benefits Specialists
- Remains current on related local, state, and federal law changes as they relate to leave management
- Follows up on outstanding issues to ensure resolution, keeps customers informed on the status of research and closes ticket when complete
- Responsible for securing, safeguarding, and keeping confidential employee information as required by our, "Personally Identifiable Information Security Policy" and all other data privacy requirements
- Position supports 4 time zones; Must adhere to scheduled phone time during shift and remain flexible to support unanticipated events that drive volume
- Flexibility is required to support peak volume events throughout the year
- Performs other duties as assigned by management
Qualifications:
- High School Diploma or equivalent required
- Minimum 5 years of experience in administering high volumes of FMLA and various leave of absence requests for a medium to large workforce

- Multi-state leave processing strongly preferred
- Strong verbal, written, and interpersonal skills required
- Effective customer service, time management and organizational skills necessary
- Commitment to quality and collaboration in a team-based environment
- Thorough knowledge of common leave management terminology required
- Proficiency in PeopleSoft or similar HRIS system and Microsoft Office 2010, including strong MS Excel skills are essential
- PHR or SPHR desirable
