The Administrative Assistant assists various teams and account managers with all administrative functions and work planning. Many of these duties are also performed for various associations within Doleep Studio.
Essential Functions:
Provide administrative assistance to various managers with special projects, correspondence, file preparation and coordination, and all day-to-day activities as required.
Coordinate meetings; schedule rooms, arrange for supplies, appropriate meals, and beverages, as well as coordinate meeting agendas and notices.
Coordinate all aspects for meeting packet development as required.
Coordination of all Purchases Requisition/Check Requests as required.
Types, proofreads, and responds to correspondence and mail when appropriate. Handle confidential correspondence and reports with professionalism.
Coordinate special projects with the Administrative Team as required.
Provide backup assistance for RFP coordination/development.
Ensure vendors are paid on time
Maintain and run commission reports on employees for ownership
Maintain QuickBooks information/transaction and accuracy
Maintain QuickBooks GL information, structure, and accuracy
Provide regular updates/reports on ownership of finances
Track and report on employee s financial performance
Ensure all vendor and client contracts are stored properly and accounted for
Assist ownership with administration duties and task management
Performs other duties as assigned.
