Job Description

  1. Receipt of the supply order from the direct manager to communicate with the suppliers to send the pro forma invoice and to communicate with the financial department to coordinate the advance payments.
  2. Review the invoice to ensure the agreed items, numbers, and prices.
  3. Negotiate with suppliers to obtain the best prices, shipping, and receiving dates.
  4. Coordinate shipping and receiving dates with suppliers and shipping companies to collect shipments to reduce cost and save shipping time.
  5. Prepare and review all required documents to ensure their compliance with the regulations and laws to ensure that the shipment is not delayed at customs.
  6. Responsible for registration of the shipment on the electronic system to issue the "ACID" of the shipment.
  7. Sending "ACID" to the supplier to record all the required documents to ensure the speed of the shipping process.
  8. Review the packing list to ensure that it matches the supply order.
  9. Review all documents (invoice, packing list, certificate of origin, bill of lading...) with the supplier and the shipping company.
  10. Follow up and coordinate with the supplier, shipping company, and customs broker until the shipment is received.
  11. Coordinate with the supply order officer to prepare for receiving the shipment.
  12. Prepare reports for projects (project name, list of suppliers, total financial dues...) to calculate the total cost of external projects to schedule financial dues to external suppliers.
  13. Prepare reports for shipments (names of suppliers, dates of receipt of shipments, the status of each shipment...) to track shipments and complete internal and external coordination.

Job Requirements

  • Experience with international trade and logistics.
  • Ability to work collaboratively within a cross-functional team.
  • Ability to extract critical data and generate actionable insights.
  • Fluent spoken and written English is a must.
  • Proficiency in M/S office with expertise in M/S word and Excel.
