Principal Assistant (Liaison Coordinator)

EXPERIENCE AND EDUCATION:
Essential Qualifications/Experience:
Vocational training at a higher level in a relevant discipline, or equivalent combination of qualifications and experience with 8+ years of relevant experience
8+ years of experience in progressively responsible administrative duties
Experience in the use of Microsoft Excel, Word and PowerPoint
Experience as Site Manager of collaborative sites based on MS SharePoint
DUTIES/ROLE
- Assist liaison officers in tracking all the NATO Committee and Boards meeting agendas, minutes and decision sheets
- Prepare all relevant documentation packages for meetings
- Create, monitor and report on all NLO relevant taskers
- Coordinate the day-to-day tasks such as organising and keeping track of the NLO calendar and all administrative tasks in support to the NLO activity
- Site Manager of the NLO shared portal and the NATEX Community Portal
- Perform basic analyses and compile reports and briefings as directed by the liaison officers
- Conduct the IM and KM related work in compliance with the Agency IKM Strategy and IM directives, following the guidance and coordination of the Knowledge Manager
- Provide general administrative support to include tasks related to training management, budget and funds management, and Human Resources, ensuring the efficient daily operation of the office
- Monitor and track all Agency deliverables to the Agency Supervisory Board (ASB) and subordinated committees meetings
- Assist the Agency briefers to the ASB and its subordinated committees meetings as required
- Attend meetings in support to the liaison officers
- Deputize for higher grade staff, if required
- Perform other duties as may be required
