Job Description:
Prepares and places purchase orders for groups of commodities, supplies and materials where standard prices are usually quoted. Works from requisitions with established quality and quantity requirements, applies knowledge of vendor services, considers suitability of materials offered and delivery possibility. Follows up on open orders. Semi-routine duties require application of general policies and standard procedures to varying conditions and circumstances.
Responsibilities Include:
- Prepare and process requisitions and purchase orders for supplies and equipment and send copies to suppliers and to departments originating requests.
- Control purchasing department budgets.
- Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
- Analyze customer requirements in order to assess present and future material availability.
- Respond to supplier inquiries about order status, changes, or cancellations.
- Perform buying duties when necessary.
- Review requisition orders in order to verify accuracy, terminology, and specifications.
- Prepare, maintain, and review purchasing files, reports and price lists.
- Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
- Track the status of requisitions, contracts, and orders.
- Calculate costs of orders, and charge or forward invoices to appropriate accounts.
- Review purchase order claims and contracts for conformance to company policy.
- Develop and implement purchasing and contract management instructions, policies, and procedures.
- Participate in the development of specifications for equipment, products or substitute materials.
- Resolve vendor or contractor grievances, and claims against suppliers.
Skills and Knowledge:
- Knowledge of raw material, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods.
- Knowledge of principles and processes for providing customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Analyzing needs and product requirements to create a design.
- Use mathematics to solve problems.
- Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Knowledge of business and management principles involved in strategic planning, resource allocation, production methods, and coordination of people and resources.
- Monitoring/Assessing performance of yourself or organizations to make improvements or take corrective action.
